Privacy policy

What we collect, why we collect it, and the lines we don't cross.

MedChannel ("we", "us", or "our") operates the MedChannel platform. This Privacy Policy explains how we collect, use, and protect information about you when you use our service. By creating an account or using MedChannel, you agree to this policy.

1. Information We Collect

We collect the following types of information:

  • Account information — your name, clinic name, and email address when you sign up.
  • Usage data — pages visited, features used, and actions taken within the dashboard.
  • Content you create — slide deck and handout prompts and generated content, social post topics, branding settings, and clinic information shown on your displays.
  • Billing data — payment method details processed securely by Stripe. We do not store card numbers.
  • Device and technical data — browser type, operating system, and IP address for security and performance monitoring. Your clinic's location, if provided, is used to show local weather on your displays.
  • Cookies — session cookies to keep you logged in and analytics cookies to understand how the product is used.

2. How We Use Your Information

We use collected information to:

  • Provide, maintain, and improve the MedChannel platform.
  • Process subscription payments through Stripe.
  • Send transactional emails (account creation, password reset, billing receipts).
  • Monitor for abuse, fraud, and security threats.
  • Improve AI features using aggregated, de-identified interaction patterns.
  • Respond to support requests and communicate product updates.

We do not sell your personal information to third parties.

3. Important Notice Regarding Patient Data

MedChannel is a content and display platform for your waiting room — it is not built to store or process patient records. You should not enter individually identifiable patient information (patient names, dates of birth, MRNs, or other protected health information) into AI prompts, slide or handout content, or anything shown on a display.

MedChannel is not a HIPAA Business Associate and does not sign Business Associate Agreements. The platform is a marketing and patient-education tool — not an EHR, and its content is educational, not medical advice.

4. Third-Party Services

We use the following trusted third-party providers:

  • Firebase (Google) — authentication, database storage, and web hosting.
  • Stripe — payment processing and subscription management.
  • Anthropic (Claude) — powers the AI slide decks, handouts and Social Content Generator. Content prompts are sent to Anthropic's API for processing.
  • Weather and news providers — your clinic's general location is used to fetch local forecasts and headlines for your displays.
  • Google Analytics — anonymous usage analytics.

Each provider has their own privacy policy governing their use of data. We encourage you to review them for services that handle your data.

5. Data Retention

We retain your account data for as long as your account is active. If you cancel or your account is deleted, we will remove your personal data within 30 days, except where retention is required by law (e.g. billing records, which are retained for 7 years).

6. Data Security

All data is transmitted over HTTPS. Firebase enforces per-user Firestore security rules so your clinic data is only accessible to your authenticated account. Passwords are never stored in plain text. Despite these measures, no system is 100% secure — please use a strong, unique password for your MedChannel account.

7. Your Rights

You have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Correction — request that inaccurate data be corrected.
  • Deletion — request deletion of your account and associated data.
  • Portability — request your data in a portable format.
  • Opt-out — unsubscribe from non-transactional emails at any time using the link in any email.

8. Children

MedChannel is a professional B2B platform intended for use by medical clinics and their staff. We do not knowingly collect personal information from anyone under 18.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a prominent notice in the dashboard. The effective date at the top of this page will always reflect the most recent version.
